QuickBooks Online for contractors: how AI codes every receipt to the right job
QuickBooks Online keeps your books in one place. An AI Employee can help get the paperwork into those books while your team gets on with the job.

AI in QuickBooks Online can help your crew send receipts into the books, follow up on unpaid invoices and get a weekly view of profit by job. VeebarTech would need to build and check the connection for your company, and we have not built it for clients yet.
- QuickBooks Online handles everyday books and lets your accountant share access.
- Its construction job reports may fall short of what you need.
- An AI Employee can take on busywork around the tool.
- Clear job names and human checks matter before work starts.
What does QuickBooks Online actually do?
QuickBooks Online is cloud bookkeeping software for small businesses. That means your books live online, so your accountant can log in to the same records from anywhere. You can send an invoice after a job and see if the customer has paid it.
You can also pay bills, link your bank and track GST/HST in Canada. For a contractor, that gives the office a place to record money coming in and going out. It does not tell you what happened on site unless someone gets that information into the books.
- Send customers invoices for work you've done.
- Keep supplier bills in the books.
- Link bank activity to help keep records current.
- Give your accountant access to the same information.
Is it a good fit for a small contractor?
It can suit a small Canadian contractor who wants simple books at a manageable cost. Your accountant may already know it, which can make working together easier. It also suits firms that only need a light view of costs by job.
Think of a trade business where the owner still prices work and the office manager handles the books between calls. They need to know which invoices are unpaid and where the money went. They may not need a full construction system, but they do need a steady way to get receipts out of trucks.
Good bookkeeping software still needs someone to get the paperwork into it.
How popular is QuickBooks Online?
It has a large footprint, though the figures need some care. Intuit's Form 10 K for fiscal 2025 says the company serves about 100 million consumers, businesses and accountants across all its products. That is not a count of QuickBooks Online customers.
Intuit's Form 10 K for fiscal 2025 reports that QuickBooks Online Accounting revenue grew by 22%. Revenue growth tells us the business grew, but it does not tell us how many contractors use it.
The Capterra comparison lists about 8,500 QuickBooks Online reviews as of 2025, among the largest review counts in accounting software. That gives you plenty of user feedback to read. Popularity is useful context, but your own job reports still need to do what you need.

Your team keeps the tools it knows. The AI Employee takes the busywork around them.
What can feel slow or frustrating?
The books can fall behind even when the software works well. A receipt stays in the truck, or a supplier bill arrives without a job name. Your office manager has to chase the missing detail before the cost can go in the right place.
There are tool limits too. The supplied contractor reviews describe shallow job costing and gaps in reports such as estimates compared with actual costs. Reviews also flag missing trade tools compared with the desktop contractor edition, while G2 reviewers raise concerns about support and setup.
- Missing receipts leave costs out of your job reports.
- Unclear job names make the office chase answers.
- Late entries can leave you making choices from old figures.
- Price increases can make the monthly plan harder to justify.
- Chasing a late invoice can feel awkward when you still work with the customer.
Your office should not have to hunt through a truck to find the cost of a job.
How can an AI Employee help around the tool?
The aim is simple. Your crew snaps a receipt in chat, and the AI Employee can read it and code it to the right job in QuickBooks Online. We'd set rules with your bookkeeper so unclear details go back for a check instead of turning into a guess.
QuickBooks OnlineThe same setup can send overdue invoice reminders and give you a profit report for each job every week. Your office manager still owns the books and handles the calls that need a person. The AI Employee takes on the repeat tasks that keep pulling them away.
| Task | Doing it by hand in QuickBooks Online | QuickBooks Online plus an AI Employee |
|---|---|---|
| Enter a receipt | The office collects the photo and types in the details. | The crew sends a photo in chat for the AI Employee to read and enter. |
| Pick the job | Someone asks the crew where the material went. | The AI Employee uses agreed job details and asks when the match is unclear. |
| Chase an unpaid invoice | Someone checks the balance and writes a reminder. | The AI Employee can check the status and send an agreed reminder. |
| Review profit by job | The owner gathers the figures and checks what's missing. | The AI Employee can send a weekly view and flag known gaps for review. |
A report still depends on the costs that have reached the books. We would make that clear in the setup so a missing supplier bill does not look like extra profit.
What would we need to set it up?
QuickBooks Online has a public API, which lets software exchange data. An AI Employee can work through that connection, through exports or through emails the tool sends. The right route depends on the task and the access your company allows.
We have not built this connection for clients yet, and we are not an official QuickBooks partner. Each company would need its own setup and checks before using it for daily work.
- Choose a task that causes regular trouble, such as getting crew receipts into the books.
- Agree on job names and cost categories with your bookkeeper. Decide what needs a person's approval.
- Set up access for the chosen task. Check what your QuickBooks plan allows and what the connection would cost.
- Try real examples, including a blurry receipt and a receipt with no job name. Check that the AI Employee asks for help.
- Compare the entries with the source records. Start daily use only when the checks work and your team knows who handles errors.
Start with the pile of paperwork your team already wants off its desk.
Should we keep doing it by hand or add help?
Start with the work that's piling up. If your books are current and the office has time to keep them that way, you may be fine as you are. If the same tasks keep slipping, an AI Employee may be worth a closer look.
Keep your current process
Choose this when Receipts reach the office and the books stay current.
Keep using the tool. A clear receipt rule may solve the remaining trouble without adding another system.
Add an AI Employee
Choose this when Repeat admin work keeps pulling your team away from their main jobs.
Look at receipt entry or invoice reminders. Agree on the checks and review the result with your bookkeeper.
Review your job tools
Choose this when You need construction reports your current setup cannot give you.
Check the reporting gap first. Better data entry alone will not create every job costing feature you need.

Questions owners ask
Can an AI Employee enter receipts into QuickBooks Online?
Yes, an AI Employee can be set up to read a receipt sent in chat and enter the details against a job. It needs access and rules agreed with your bookkeeper. If the photo is unclear or the job is missing, it should ask before posting the cost.
Will an AI Employee replace our bookkeeper?
The setup we describe supports your bookkeeper by taking on repeat admin work. Your bookkeeper still checks the books and makes calls that need judgement. We would agree on what the AI Employee can do on its own and what needs review before any daily work starts.
Can it tell me the profit on each job?
It can be set up to send a weekly view of profit by job using the records available. That view is only as complete as the costs and income in the books. Missing bills or costs posted to the wrong job still need attention from your team.
Does this fix QuickBooks Online's construction reporting limits?
An AI Employee can help gather records and prepare a useful summary, but it does not add every missing construction feature to QuickBooks Online. If you need detailed work in progress reports, check those needs first. We would review what the available data can support before promising a report.
Is VeebarTech's QuickBooks Online connection ready to use?
No. We have not built this connection for clients yet, and we are not an official QuickBooks partner. An AI Employee can work with the tool through its API, exports or emails. We would need to set up and test the chosen tasks for your company before daily use.
