Buildertrend: what it does, and how AI turns client texts into change orders
Buildertrend gives your jobs a shared home. An AI Employee can help keep it current while your clients and crews keep texting as they do now.

An AI Employee can work with Buildertrend to turn job texts into prepared updates and help send clients a weekly report, with a setup built for your company. We have not built this connection for clients yet, and direct changes inside Buildertrend would depend on access we confirm before promising the work.
- Buildertrend keeps job plans and costs in one place.
- The busywork grows when texts never reach the job record.
- An AI Employee can help prepare updates from those texts.
- Your team stays in charge of costs and promises.
- Direct entry into Buildertrend needs a confirmed access route.
What does Buildertrend do?
Buildertrend is software for home builders and remodelers. It holds the schedule and helps you track what a job should cost against what you spend. You can also use it to build estimates and record change orders.
It gives clients and trade partners a place to log in and see job progress. That matters when the homeowner wants an update while your project manager is busy getting a delivery off the road. The answer has somewhere to live.
Think of a kitchen job. The schedule shows when the cabinets should arrive, while the budget holds the costs. If the owner asks for a different countertop, the change order gives that request a proper record.
A job record only helps when it matches what happened on the job.
Who is Buildertrend a good fit for?
Buildertrend suits residential builders and remodelers who want client updates and job costing close to the schedule. You might have an office manager handling paperwork while the owner still runs jobs. Or your project managers may each look after their own sites.
The useful part is having a shared record. A client can check progress without waiting for someone to find an old email. A trade partner can see job details without relying on a message passed through the crew.
But someone still has to keep that record current. Before choosing it, ask who will enter a change when the site gets busy. If the answer is always the owner after supper, the software alone will not solve that workload.
- Look at how your office gets news from the site.
- Check whether clients will use a portal or keep texting.
- Give someone clear ownership of the job record.
How popular is Buildertrend?
Silicon Prairie News reported in February 2026 that Buildertrend had more than 20,000 customers in 100 countries. That gives you a sense of its reach among building firms. It does not tell you how well it will fit your office. Read the Silicon Prairie News report.
The Buildertrend FAQ page says it has been trusted by more than 1,000,000 users in over 80 countries. Users and customers are different counts, so those figures should not be treated as the same measure. See the Buildertrend FAQ page.
A widely used tool can still take work to learn. Bring a real job to your demo and ask how you would handle a late delivery or a client change. That tells you more about daily use than a large customer count.
What do people find slow or annoying?
Buildertrend is a good tool, but getting information into it can feel like another job. A client texts the project manager about a change. The manager then has to open the right job and type that request again.
Reviews on G2 mention a steep learning curve and manual entry. GetApp reviews include complaints about too many email alerts and trouble managing them. These are reported experiences, not a claim that every team has the same trouble. G2 reviews and GetApp reviews give examples.

Your team keeps the tools it knows. The AI Employee takes the busywork around them.
How can an AI Employee help with the busywork?
The goal is simple. Your clients and crews keep texting as they do now, and the AI Employee helps turn those messages into useful job records. Your office checks the work instead of starting with a blank screen.
Say a homeowner texts about moving a wall. The AI Employee can prepare a change order draft and flag missing details for your project manager. A request is not approval, and a guessed price has no place in the budget.
A crew text about a delayed delivery could become a proposed schedule update. Site notes could feed a daily log, while approved job details could feed a weekly client email. Writing those changes straight into Buildertrend would need a confirmed access route.
- Try a free construction tool to explore a small task your office handles today.
| Real task | By hand in Buildertrend | Buildertrend plus an AI Employee |
|---|---|---|
| Record a client change | Read the text and type the request into the job. | Prepare a change order draft from the text for review. |
| Update the schedule | Find the job and retype the new timing. | Prepare the change and flag dates that need checking. |
| Write a daily log | Gather crew messages and write the entry. | Build a draft from messages tied to the right job. |
| Send a weekly client update | Read the job notes and write an email. | Prepare and send an update using approved details and agreed rules. |
Your crew can keep texting while your office gets a clearer job record.
Can you connect it to Buildertrend today?
We have not built this connection for clients yet. VeebarTech is not an official Buildertrend partner. Here, AI in Buildertrend means a proposed way to use an AI Employee around the tool, not the name of an official product.
BuildertrendBuildertrend has no open public API, which is a way for software tools to exchange information. Its Marketplace update says it is pausing new Marketplace integrations for now. We cannot promise a direct connection based on access that is not available. Read the Marketplace update.
An AI Employee can work with available exports or emails, with a setup made for your company. We would check what those contain and what access is allowed. If direct entry is unavailable, your team would receive prepared updates to enter in Buildertrend.
How would we set this up for your company?
We would start with a task your office already knows well. Weekly client updates are a possible starting point because your team can compare the draft with the job record. The right choice depends on the information you can share.
We would also agree on who checks each type of change. AI will not walk your site for you. Your project manager still decides whether a proposed date works and whether a change is ready for client approval.
- Choose a clear task, such as turning crew notes into a daily log draft.
- Check access to the needed messages and Buildertrend records before promising automatic entry.
- Set rules for matching messages to jobs and flagging anything unclear.
- Test with real job examples your team can check, including missing details and changed plans.
- Agree on review and sending rules, then watch for errors before adding more work.
What should you tackle first?
Start where the same information gets typed again. You do not need to change how the whole company works to test a useful idea. Pick the task that keeps landing back on your desk.
At VeebarTech, we want your current team to have more time for the work you hired them to do. That could mean your office manager spends less time sorting texts and more time helping a job move forward. The setup has to earn its place.
- See how builders use it and bring a task you keep putting off. We can talk through what access it would need.

Questions owners ask
Is AI in Buildertrend an official Buildertrend feature?
In this post, the term means a proposed AI Employee setup that works around Buildertrend. We are not presenting it as an official feature. VeebarTech is not an official Buildertrend partner, and we have not built this connection for clients yet. Access would need checking before work begins.
Will clients have to stop texting us?
No. The aim is to keep the habit that already works for them. A setup could use those texts to prepare job updates and flag requests that need a reply. We would first confirm how messages can be accessed and how each message gets matched to the right job.
Can an AI Employee approve a change order?
Our proposed setup would leave approval with the people your company chooses. The AI Employee could prepare the request and flag missing details. Your team would check the scope and cost before asking the client to approve it. A casual text should not become an approved charge by mistake.
How much does Buildertrend cost?
The Projul pricing analysis supplied for this post says Buildertrend now gives custom quotes instead of posting plan prices. Ask for a written quote and read the renewal terms. Any AI Employee setup would need its own scope and price once the task and access are clear. Read the pricing analysis.
Does this mean we need fewer office staff?
The point is to give your current team less copying and chasing to do. Your office manager still knows which client needs a call and which detail looks wrong. An AI Employee can help prepare the paperwork so that person has more room to use their judgment.
