ServiceTitan: what it does, and how AI follows up open estimates

ServiceTitan keeps a busy trade shop’s work in one place. An AI Employee can help your team use that information without spending so much time digging through screens.

The short answer

An AI Employee can work with ServiceTitan for you. It can send a plain weekly update, follow up on open estimates and help renew memberships. VeebarTech has not built this connection for clients yet and is not an official ServiceTitan partner.

  • ServiceTitan brings job booking and office work into one system.
  • It suits larger trade shops with many technicians.
  • Cost and setup deserve a close look before you sign.
  • An AI Employee can take on routine work around the tool.
  • The connection needs to be checked and set up for your shop.
001/008The basics

What does ServiceTitan actually do?

ServiceTitan is software for trade contractors, including HVAC and plumbing shops. Electrical and roofing firms use it too. It runs the office work around a job, from booking the call to collecting the payment.

Say a customer calls about a furnace that quit overnight. Your office books the visit, dispatch sends a technician, and the pricebook helps the team price the work. The invoice and payment then stay in the same system, so your office has a shared place to check what happened.

It also handles marketing work. That makes it more than a calendar for service calls. It is built for bigger shops with many techs. The office has a lot of moving work to track.

002/008Shop fit

What kind of shop is it built for?

Larger residential and commercial trade contractors are its main fit. Think of a shop with many technicians on the road and a call centre taking bookings. Keeping that work together can make a good tool worth the effort.

If you run a smaller crew, look at the work your office actually does before you buy. A busy service shop needs more dispatch help than a crew that stays on one site for weeks. Staff size alone does not tell you which tool fits.

Ask the person who answers your phones to join the demo. Have them walk through a real booking, including what happens when the customer changes the time. You want to see how the tool handles your working day, including the bits that rarely go to plan.

004/008Real friction

What do owners find slow or annoying?

Cost is a fair concern. ServiceTitan does not post prices and charges per technician, according to the pricing information in this brief. Ask for a written quote that makes the setup fees clear, so you can judge the full cost.

User reviews on G2 describe hard training and setup, with rollout sometimes taking months. A good system still needs someone who knows where to find the right report. When that person is busy, an owner’s question about open estimates can sit unanswered.

Reviews collected by GetOneCrew include disputes over renewals, cancellation and billing. Capterra reviews rate value for money lower. The Projul pricing review talks about contract terms and early exit fees. These are reported concerns, so read your own agreement closely.

A useful tool still takes time to learn and work to keep current.

005/008Less busywork

Where can an AI Employee take work off our plate?

Start with the questions you keep asking your office. Which estimates still need an answer? Which memberships are due for renewal? An AI Employee can pull the available records into a plain weekly message, with clear next steps for your team.

That message can include technician performance figures you have agreed to track. A callback may need a closer look, but a number alone cannot explain what happened at the house. Your manager still brings the job context and decides what needs attention.

An AI Employee can also send estimate follow ups and handle agreed steps in membership renewals. Your team sets the wording and the rules for passing replies to a person. It will not make ServiceTitan cheaper. It will not skip the setup. It can cut the busywork once it is set up.

Your office should spend more time helping customers than hunting for the right report.

006/008Getting started

How would we set up the connection?

ServiceTitan has a developer portal with OAuth APIs and an App Marketplace for partner apps, according to its developer docs. An API is a way for approved software to exchange information. An AI Employee can work through available API access, exports or emails, with the route checked for your company.

Service trades win on fast replies and follow ups the AI Employee never forgets.

We have not built this connection for clients yet, and VeebarTech is not an official ServiceTitan partner. We would need to check your access before promising a specific action. Reading an export does not automatically let an AI Employee update a record.

  1. Pick a task that keeps slipping, such as following up on estimates after the office sends them.
  2. Check where the needed details live and what your account lets another tool read or change.
  3. Set the rules with your office. Decide when to send a message and which replies need a person.
  4. Test with sample records and messages. Check that accepted estimates are left out and customer details are correct.
  5. Review the work with your team before expanding it. Start with a useful task you can check.

What changes for the person doing the work?

The same team stays in charge. The change is who does the routine checking and chasing between customer conversations. Here is what that could look like once the needed access and rules are in place.

These are possible workflows, with the exact actions agreed during setup. A weekly summary may be possible from an export, while changing a membership record would need suitable access. We would check that difference before putting the task into use.

008/008Your next step

What should we try first?

Choose the work your office already knows well but struggles to keep up with. That makes it easier to spot a wrong result and judge whether the help is useful. The best starting point is often a task that gets pushed aside when the phones get busy.

Try a free construction tool to explore a small task first. Our Free tools for construction companies collection gives you a place to start.

Start with reports

Choose this when You keep asking someone to pull the same numbers.

Begin with a weekly message about open estimates and agreed performance figures. Let your office check it against the source records.

Start with estimates

Choose this when Quotes go out, but follow ups depend on someone finding time.

Agree on when to contact customers and when to stop. Pass questions about scope or price back to your team.

Start with memberships

Choose this when Renewal dates arrive before anyone has contacted the customer.

Use due dates to prompt renewal messages. Keep changes to terms and any disputed charges with the person responsible.

Pick the task that keeps getting pushed to tomorrow. That is where to start.

FAQ

Questions owners ask

Is ServiceTitan a good fit for a small contractor?

It can be, if your booking and dispatch needs call for it. ServiceTitan is built for larger trade shops with many technicians, so look closely at the work involved in setup. Ask for a demo using your own kind of job and get the full price in writing.

Will an AI Employee replace our office staff?

Our approach is to give your current team more time for the work they were hired to do. An AI Employee can handle routine checks and agreed messages. Your staff still deal with customer concerns and make judgement calls. AI will not walk your site or sort out a tricky scope question on its own.

Can an AI Employee renew memberships automatically?

It can help with renewals, but the exact steps depend on access and your rules. Sending a reminder is different from changing a membership or taking a payment. We check each step first, and any customer approval it needs. Then we agree on what the AI Employee does for your shop.

Does VeebarTech already have a ServiceTitan connection?

No. We have not built this connection for clients yet, and we are not an official ServiceTitan partner. An AI Employee can work with the tool through its API, exports or emails. We would check what is available for your company and test the chosen workflow before putting it into use.

What should I bring to a call about AI in ServiceTitan?

Bring one task that keeps eating time. Maybe it is the report you rebuild each week, or the estimate list nobody gets to. Remove customer details if they are not needed. Then see how the AI Employee works for trades and what the setup would need.
