Xero for contractors: how AI codes receipts and chases invoices
Xero keeps your books online. An AI Employee can help with the chasing and sorting around those books, so your crew and office staff can get on with their work.
6 minute read

An AI Employee can work with Xero to help code receipts to jobs, send polite reminders for overdue invoices and prepare a plain weekly job profit message. That connection needs to be set up for your company, with your bookkeeper checking the rules and any entries that need a closer look.
- Xero gives you and your bookkeeper shared books online.
- It suits small trades that do not need deep job costing.
- An AI Employee can take on the busywork around Xero.
- Clear job records still matter if you want useful profit reports.
What does Xero actually do?
Xero is cloud accounting software for small businesses. It pulls in your bank activity, sends invoices, and tracks bills and taxes. You and your bookkeeper work in the same books online.
For a contractor, that means the office can send an invoice after a job while the bookkeeper checks costs in the same place. You do not have to pass a fresh copy of the books back and forth. You still need to get the right records into them.
Think of the receipt left in your truck after a supply run. Xero gives that cost a place to go, but someone still has to get it there and say which job it belongs to. That last bit is where a good tool can still leave you with office work.
Good books start with the small bits of paperwork that make it back from the job.
Which contractors tend to use Xero?
Xero suits small contractors and trades that want simple online books and have a bookkeeper who likes working in it. That is a fair reason to choose it. Your bookkeeper has to use the system when a bill looks wrong or a payment does not match.
It is a better fit when your job costing needs are fairly simple. If you need a close view of labour and costs across phases of a large build, check those needs before you choose. An AI Employee cannot make missing job records appear.
You want shared books
Choose this when Your office and bookkeeper need the same records.
Xero may fit well if the main need is clear day to day accounting.
Your books are fine
Choose this when Your team likes Xero but spends too long chasing paperwork.
Look at the tasks around the tool before you think about changing software.
Your jobs need detail
Choose this when You need costs split by phase or type of work.
Check how those details will be recorded before relying on a job profit message.
How popular is Xero?
The Xero Canada About page says Xero serves 5 million customers in more than 180 countries as of 2026. That shows broad use, though it does not tell us how many of those customers are Canadian contractors.
The Xero Canada About page also says it connects with more than 1,000 apps. That gives you connections to explore, but an app count does not prove that your exact office task is covered.
We would put more weight on how well it fits your books than on how big it is. Ask your bookkeeper to walk through a real supplier bill and the invoice for that job. You will learn more from that than from a customer count.
What do people find slow or annoying?
Xero is a good accounting tool, but that does not mean every part feels easy. The review sources in this brief flag concerns worth checking before you commit. These are reported complaints, not a claim that every user has the same trouble.
For a construction office, the daily pain may be closer to home. A receipt never reaches the bookkeeper, or an unpaid invoice sits there because everyone thought someone else had called. The same loose ends can happen with QuickBooks.
- Price changes. The Kimola review summary reports complaints about frequent increases without matching new features.
- Getting help. ProductReview users report no inbound phone support, with an online case followed by a wait for a callback.
- Job costing. Capterra reviewers say jobs and project costs can be hard to handle well.
- Bank feeds. ProductReview users report feed problems, which can leave the office with more checking to do.

Your team keeps the tools it knows. The AI Employee takes the busywork around them.
How could an AI Employee help around Xero?
An AI Employee can work with Xero through its API, its exports or the emails it sends, with the setup built for your company. We have not built this connection for clients yet, and VeebarTech is not an official Xero partner. These are tasks we could set up.
The aim is to help the team you already trust. A foreperson can send a receipt in chat while the office manager spends less time asking for it. Your bookkeeper can focus on checks that need their judgement.
| Real task | Doing it by hand in Xero | Xero plus an AI Employee |
|---|---|---|
| Get a receipt onto the right job | The office collects the receipt and enters its details against the job. | A receipt sent in chat can be read and coded using agreed job rules, with unclear details sent for review. |
| Follow up on an unpaid invoice | Someone checks what is overdue and writes to the customer. | Polite reminders can follow your rules, with disputed bills held for a person. |
| Catch up on bank activity | The bookkeeper checks feed entries and looks for supporting records. | The AI Employee can help gather receipts and flag items that still need a match. |
| See profit by job | Someone pulls job income and costs together and explains the result. | A plain weekly message can show recorded job profit and flag known gaps. |
Let the AI Employee chase the receipt so your team can deal with the work behind it.
How would we set this up for your company?
Start with a task that keeps getting pushed to tomorrow. Lost receipts are a useful place to begin because you can trace the work from a chat message to the books. Your bookkeeper should help set the rules.
XeroWe would check the available connection before promising a workflow. Xero provides an API for software connections, but your plan and the records you keep still need a review. Each company needs its own setup.
- Pick the task. Use a real example, such as a supply receipt that arrived without a job name.
- Agree on the rules. Decide how jobs are named and who checks a receipt when the job is unclear.
- Set access and approvals. Choose what the AI Employee may read and which actions need someone to approve them.
- Try real records. Check that the receipt reaches the right job and that an unclear receipt gets held for review.
- Review the work. Let the office and bookkeeper check the results before adding another task.
A small task done well is a better start than a long list of promises.
Can I trust a weekly job profit message?
You can use it as a clear view of what has been recorded, provided the message says what is missing. It should not present an unfinished job as a final result. A supplier bill that has not arrived can change what you think you made.
Say a deck job looks healthy in the books, but the latest labour costs have not been added. A useful message would flag that gap beside the profit figure. It should help you ask the right question before you price the next deck.
We would agree with your bookkeeper on what the message includes and how costs get tied to jobs. AI will not walk your site for you. It also cannot know about a cost that nobody has recorded or shared.
- Keep job names consistent when receipts come in.
- Flag missing costs beside the reported profit.
- Have a person check figures that look wrong.
- Keep final accounting decisions with your bookkeeper.
What should we do next?
Look at the last bit of paperwork your office had to chase. Was the trouble getting the receipt, or working out where it belonged? That gives us a real task to discuss.

Questions owners ask
Do we need to leave Xero to use an AI Employee?
No. An AI Employee can work with the tool you already use through a connection set up for your company. The first step is to check the task and the records it needs. We have not yet built this Xero connection for clients, so we would confirm the details before promising it.
Can it code every receipt without asking us?
It should ask when the job or expense is unclear. A receipt from a building supplier may belong to several jobs, and the supplier name alone does not settle that. Your setup can use agreed rules for clear cases and send uncertain ones to the office or bookkeeper.
Will customers get reminders about invoices they dispute?
The setup should hold disputed invoices for a person to handle. You would set the tone and timing of reminders, along with reasons to stop them. The AI Employee also needs a way to learn that an invoice is disputed, so the team must keep that status clear.
Does this replace our bookkeeper?
Your bookkeeper still sets accounting rules and checks entries that need judgement. An AI Employee can help collect the receipt or prepare a reminder, giving that person less chasing to do. The point is to help your current team spend more time on the work you hired them for.
Can an AI Employee fix a broken bank feed?
It cannot promise to repair a bank feed problem. It can help flag missing activity and gather records for review, depending on the setup. Your bookkeeper still needs to check that the books match the bank. A failed feed may need help from Xero or the bank.
