AI for construction › Procurement
The problem
The windows take 14 weeks. Nobody ordered them, and the job waits.
Buyout lives in the PM's head and an old email thread. One missed order-by date means a crew standing around, a late finish, and a rush price that eats your profit.
The fix ↓
Find the real low bid, and order before it is late.
For construction companies with 3 to 50 staff. One tool for the whole buyout: level your sub bids and supplier quotes, add the long-lead items for your job, and see the real low, the order-by date and the budget for every package.
What your buyout looks like
| Package | Real low | Status |
|---|---|---|
| Structural steel | Not leveled yet | Late Order-by date passed 9 days ago |
| Windows | Bid B $91,400 | Order soon Order by Nov 18. Bid A looked lowest at $88,000, but left out $6,200 |
| Drywall and framing | Bought $204,500 | Bought $7,500 under budget |

Great company to work with, incredibly detail oriented and easy to work with. We really appreciated how they focused on solving the problem, not just appeasing customer desires. The work was returned ahead of schedule with capabilities on par and beyond what we were expecting. …

Short answers.
What is buyout in construction?
Buyout is buying every part of the job after you win it. That means each subcontract and each big material order, at a price and a date.
When should buyout start after the contract is signed?
Right away. Start with the long-lead packages and the trades needed first on site, then work down the schedule.
What are buyout savings, and who keeps them?
Buyout savings are the estimate's budget for a package minus what you signed for. On a lump sum job the contractor usually keeps them. On cost-plus or GMP jobs the contract often shares them with the owner, so read yours.
What are the most common buyout mistakes?
Signing a sub whose scope does not match the bid, missing items that fall between two trades, and ordering long-lead items too late. A scope check before you sign helps catch them.
How do you track buyout on a project?
Keep one list of every package with its budget, the date it is needed on site, the lead time and its stage. Our free tool does this and flags what is late.
What is bid leveling?
Putting every sub bid or supplier quote on the same scope, then adding the cost of what each one left out, like a missing scope item, freight or tax. The lowest number is not always the real low.
Which items have long lead times?
Often electrical gear, generators, rooftop units, elevators, structural steel, windows and custom millwork. The tool lists them by project type. The lead time itself always comes from your supplier.
Can AI help with construction buyout?
Yes, with the busy work. Our AI Employee builds the list from your estimate, chases quotes, writes the POs and warns you before a date passes. Your PM still picks the subs.
